These Terms & Conditions apply to all bookings made with PrimeVoyageX Ltd, trading as PrimeVoyageX.
In these Terms, “PrimeVoyageX”, “we”, “us”, and “our” mean PrimeVoyageX Ltd. “Customer”, “client”, “you”, and “passenger” mean the person making the booking, paying for the booking, travelling under the booking, or acting on behalf of a passenger or organisation.
By making a booking with PrimeVoyageX, you agree to these Terms & Conditions.
1. About PrimeVoyageX
PrimeVoyageX provides pre-booked private hire and chauffeur services only.
We do not operate as a taxi, hackney carriage, street-hail service, or rank-based service.
All journeys must be booked in advance and accepted by PrimeVoyageX before travel.

2. Contract Formation
A booking is only confirmed once PrimeVoyageX has accepted the booking and payment,
pre-authorisation, or approved account confirmation has been received.
Once your booking is accepted, a legally binding contract for private hire services
is formed between PrimeVoyageX Ltd and the customer.
These Terms are governed by the laws of England and Wales.
3. Booking Confirmation
A booking confirmation may be sent by email, booking system, message, or other written confirmation.
Customers are responsible for checking that all booking details are correct.

Incorrect booking details may result in delays, extra charges,
missed pickups, or no-show charges.
4. Website / Quote Errors
PrimeVoyageX reserves the right to correct obvious pricing, availability,
route, vehicle class, or system errors before confirming a booking.
If a quote is clearly incorrect due to a technical error, mapping error,
mileage error, route error, or system issue, PrimeVoyageX may correct the quote before accepting the booking.
5. Pricing Transparency
All bookings are quoted clearly before confirmation.
The price shown at booking is the agreed journey price excluding chargeable extras that arise during or after the journey.

7. What Your Quote Includes
Your quoted fare includes:

Unless clearly stated otherwise, tolls, parking beyond any included allowance, extra stops, special access charges, and post-journey extras may be charged separately.
8. VAT
Website and client prices should be shown including VAT unless stated otherwise.
Where applicable, VAT is charged at 20%.

9. Payment
Bookings are normally paid in full at the time of booking unless a corporate account,
invoice facility, or approved payment arrangement is in place.
PrimeVoyageX may request card pre-authorisation or keep payment details on file for post-journey extras.

11. Refunds
Where a refund is due, it will normally be returned to the original payment method.
Bank or card processing times may vary, usually 5–10 business days.
12. Failed Payments and Chargebacks
Failed payments, unpaid extras, disputed payments, or chargebacks may result in recovery action,
booking restrictions, suspension of future bookings, refusal of service, or referral to debt recovery.
A-to-B / Point-to-Point Journeys
13. A-to-B / Point-to-Point Journeys
Point-to-point fares are quoted based on the booked pickup, destination, vehicle class,
pickup time, route, estimated distance, journey time, and service requirements.
Return journeys are treated as separate bookings unless clearly included in the same itinerary.

15. Flight Monitoring
For airport pickups, PrimeVoyageX monitors flights where a valid flight number is provided before the journey.
If the flight is delayed, the chauffeur will normally adjust arrival based on the updated landing time where operationally possible.
Free airport waiting starts from the actual flight landing time, not the original scheduled landing time.
If a valid flight number is not provided, waiting time may start from the booked pickup
time.
16. Early Flight Arrival and Terminal Changes
If a flight arrives early, PrimeVoyageX will make reasonable efforts to adjust the chauffeur arrival time, subject to availability and operational limits.
If the airport or airline changes the arrival terminal, the customer or passenger should notify PrimeVoyageX as soon as possible.
Additional parking, waiting, or repositioning costs may apply where a terminal change causes extra time, distance, or cost.
17. Meet & Greet
Airport pickups include meet-and-greet inside the arrivals area where applicable, unless otherwise agreed.
The chauffeur may display the passenger name or agreed name board where required.
Passengers should follow the pickup instructions provided by PrimeVoyageX or the assigned chauffeur.
Hourly / As-Directed Hire
18. Hourly / As-Directed Hire
Hourly / as-directed bookings are subject to a minimum hire period.

19. Hourly Mileage Allowance
Hourly hire includes up to 12 miles per booked hour.

Extra mileage may be charged if the included mileage allowance is exceeded.
20. Early Finish — Hourly Hire
Hourly / as-directed bookings are reserved for the confirmed hire period.
If the booking finishes earlier than scheduled, the full booked hire period remains chargeable and unused time is not refunded.
This applies whether the customer books 3 hours, 6 hours, 8 hours, or any other agreed hourly hire period.
21. Extra Time — Hourly Hire
Hourly bookings include the confirmed booked time.
If the hire period runs over, additional time may be charged according to the extra time used, agreed extension rate, or next full hour, subject to chauffeur availability.
PrimeVoyageX cannot guarantee that the chauffeur will be available beyond the confirmed booking period.
22. Waiting Time
Free waiting time depends on the pickup type.

24. Driver Early Arrival
If the chauffeur arrives early, chargeable waiting time will not start before the booked pickup time unless the passenger enters the vehicle early and requests the journey to begin.
25. Waiting Charges After Free Time
Extra waiting time is charged per minute based on vehicle class.

Waiting charges are normally added after the journey if incurred.
26. Waiting Time Cap
Chauffeurs are not required to wait indefinitely.
After the free waiting period and reasonable chargeable waiting, the booking may be released if the passenger cannot be contacted.
27. No-Show Policy
A no-show may be charged in full.

Passengers should contact PrimeVoyageX or the chauffeur as soon as possible if delayed.

28. Cancellation Policy

29. Late Cancellation
Late cancellations may be charged partly or in full depending on:
- Booking type
- Time before pickup
- Chauffeur allocation
- Vehicle allocation
- Journey distance
- Whether the chauffeur has already been dispatched
- Whether the booking is specialist, event-based or long-distance
- Any third-party or access costs already incurred
30. Amendments
Minor amendments are usually free before dispatch, subject to availability.
Changes made close to pickup time, after chauffeur dispatch, or during the journey may result in additional charges.
Major changes may be treated as a new booking, including:
- Pickup time
- Pickup date
- Route
- Vehicle class
- Itinerary
- Final destination
- Number of hours
- Number of vehicles
31. Extra Stops
Extra stops must be requested in advance where possible.
Unplanned stops are subject to chauffeur availability, route impact, parking rules, waiting time, distance, and access restrictions.
Extra stops may result in additional charges where they add time, mileage, parking, waiting, route changes, or operational complexity.
32. Route Changes and Diversions
Route changes, extra stops, additional mileage, or changes to the final destination may increase the fare.
Where possible, the chauffeur or office team will confirm the additional charge before continuing.
33. Return Journeys
Return journeys are treated as separate bookings unless clearly included in the same confirmed itinerary.
Each leg may be priced separately based on its own pickup time.

35. Parking, Tolls and Road Charges
Airport pickup fares include an airport pickup allowance.
Parking beyond the included allowance may be charged at cost.
Other parking, including hotels, venues, private terminals, ports, stations and restricted-access locations, may be charged where incurred unless clearly included in the quote.
Tolls, bridges, tunnels, road charges, airport drop-off charges, port access fees and special access fees are charged separately where incurred unless included in the original quote.
Congestion Charge and ULEZ are included in the confirmed price where applicable unless stated otherwise.
36. Public Holiday, Special Event and High-Demand Pricing
Public holiday pricing may vary depending on demand, chauffeur availability,
operating costs, and vehicle class.

Vehicles and Passenger Requirements
37. Vehicle Classes
Vehicle class is confirmed at booking.

A specific model may be requested but cannot be guaranteed unless confirmed in writing.
38. Vehicle Allocation and Replacement Vehicles
Vehicles are allocated by class, not by exact make, model, registration, colour, or model year unless specifically confirmed in writing.
If the booked vehicle becomes unavailable, PrimeVoyageX may provide an equivalent or higher-class replacement where possible.
If only a lower class is available, any appropriate fare adjustment will be considered.
39. Chauffeur and Vehicle Details
Chauffeur and vehicle details are usually shared around 1 hour before pickup, once the chauffeur has been assigned.
Details may sometimes be shared earlier or later depending on operational requirements, journey type, safety, availability, or last-minute changes.
Chauffeur or vehicle details may change where necessary for operational, safety, or availability reasons.
40. Vehicle Standards and Amenities
PrimeVoyageX aims to provide modern, clean, well-presented vehicles suitable for executive private hire and chauffeur work.

41. Passenger and Luggage Responsibility
Passengers must book a suitable vehicle for the number of passengers and luggage items.
Luggage capacity depends on vehicle class. Luggage must fit safely inside the boot or luggage area and must not block windows, obstruct the chauffeur, exceed vehicle capacity, or make the vehicle unsafe.
If the booked vehicle is not suitable for the passenger or luggage requirements, PrimeVoyageX will try to assist where reasonably possible. However, a larger replacement vehicle may not be available at short notice and additional charges may apply.
If luggage cannot be carried safely or legally, the chauffeur may refuse to carry the excess luggage or the journey may be delayed, amended, or cancelled. Cancellation or no-show charges may apply depending on the circumstances.
42. Passenger Capacity
Passenger numbers must not exceed the legal seating capacity of the booked vehicle.
The chauffeur may refuse travel if passenger numbers exceed the booked class capacity.
No refund will be due where the customer booked an unsuitable vehicle or attempted to travel with too many passengers.
43. Children and Minors
Bookings for minors are accepted only when accompanied by a responsible adult unless otherwise agreed in writing.
The accompanying adult is responsible for the minor at all times during the journey.
44. Child Seats
Child seats may be available on request, subject to availability and advance notice.
Clients are encouraged to request child seats at the time of booking.
Additional charges may apply.
Availability is not guaranteed without advance notice.
45. Passenger Rules

46. Smoking and Vaping
Smoking and vaping are not permitted inside any PrimeVoyageX vehicle.
Cleaning charges may apply if this rule is ignored.
A breach may result in immediate termination of the journey without refund.
If a passenger requests a smoking stop, waiting time charges may apply.
47. Food and Drink
Light refreshments may be allowed at the chauffeur’s discretion.
Hot food, messy food, or anything likely to damage, stain, or soil the vehicle is not permitted.
Cleaning charges may apply where food or drink causes mess, staining, smell, or vehicle downtime.
48. Alcohol
Alcohol consumption is only permitted where legally allowed and agreed in advance.
The chauffeur may refuse alcohol consumption if it risks safety, cleanliness, passenger conduct, or vehicle condition.
49. Pets and Assistance Dogs
Pets must be declared in advance.
Non-assistance pets may require approval and suitable vehicle preparation.
Pets may be required to travel in a suitable carrier or crate.
Assistance dogs are accepted in accordance with legal requirements.
Cleaning charges may apply if required.
50. Illegal Items and Prohibited Goods
Illegal goods, dangerous items, weapons, or substances are not permitted in any vehicle.
The chauffeur may refuse or terminate the journey if safety or legality is at risk.
No refund will be due where a journey is refused or terminated because of illegal,
unsafe, or prohibited items.

Special requests should be made before booking confirmation.

52. Damage, Cleaning and Soiling
A cleaning or damage charge may apply if the vehicle is soiled, damaged, or taken out of service because of passenger behavior.

54. Journey Termination
PrimeVoyageX or the chauffeur may terminate a journey without refund if passenger behaviour becomes unsafe, abusive, illegal, disruptive, or damaging to the vehicle.
If a journey is terminated due to passenger behaviour, 100% of the fare remains payable.

Licensing, Insurance and Chauffeur Standards
56. Licensing, Insurance and Chauffeur Standards
Journeys are carried out by appropriately licensed private hire/chauffeur drivers and vehicles, in line with applicable licensing requirements.
Vehicles used for bookings are required to hold appropriate hire and reward/private hire insurance.
Chauffeurs are expected to be professional, punctual, discreet, well-presented, and familiar with executive travel standards.
PrimeVoyageX may use carefully selected licensed partner chauffeurs or operators where required, while maintaining service standards and booking oversight.
57. Subcontracting and Partner Chauffeurs
PrimeVoyageX may allocate bookings to licensed partner chauffeurs, drivers, vehicles, or operators where required.
Where partner chauffeurs or operators are used, they are expected to meet appropriate licensing, insurance, vehicle, safety, and professional standards.
PrimeVoyageX remains responsible for managing the customer booking and service oversight.
58. CCTV / Dashcams
Some vehicles may use external-facing dashcams or safety recording systems for security, insurance, and incident protection.
Interior recording is not standard unless clearly disclosed.
Where recording equipment is used, it must be used lawfully and in accordance with applicable data protection requirements.
59. Confidentiality
Chauffeurs are expected to respect passenger privacy and confidentiality.
Client conversations, travel details, passenger information, and personal data must be treated discreetly.

61. Marketing Consent
Marketing messages are only sent where consent has been given or where legally permitted.
Clients can unsubscribe at any time.
PrimeVoyageX will not sell or trade personal data with third parties.
62. Lost Property
Passengers are responsible for their belongings at all times.
Passengers are encouraged to check the vehicle before leaving at the end of the journey.
If lost property is found, PrimeVoyageX will make reasonable efforts to identify, record, store, and return it where possible.
PrimeVoyageX is not responsible for property left behind in a vehicle until it has been formally handed to PrimeVoyageX by the chauffeur or driver.

63. Lost Property Return Costs
No reward may be demanded by a chauffeur, driver, or PrimeVoyageX for returning lost property.
Where a customer requests a separate courier, postage service, or dedicated chauffeur journey to return an item, reasonable delivery or travel costs may be agreed in advance.
PrimeVoyageX may refuse to return illegal, unsafe, hazardous, or suspicious items and may refer such items to the police or relevant authority.
64. Complaints
Complaints should be submitted in writing within 7 days of the journey so they can be investigated properly.

Customers are responsible for selecting a pickup time that allows enough time for the journey, including traffic, airport security, check-in, luggage, weather, roadworks, and possible delays.
PrimeVoyageX may provide journey timing guidance, but such guidance is not a guarantee.
